Project Accountant

The Project Accountant is responsible for processing statements, performing general accounting functions and job-based accounting procedure, budgets and schedule of values. The Project Accountant will be responsible for maintaining the billing and receivables for multiple Project Managers and Project Engineers who each manage multiple projects simultaneously. The Project Accountant must have a desire to learn, find answers, and take personal responsibility for quality, timeliness and process improvement. High attention to detail and an ability to prioritize responsibilities is a must. 

Duties/Responsibilities:

• Act as first line of communication with our Owners, Customers, Project Managers and other staff and provide timely responses to questions and inquiries 
• Maintain project-related records, including contracts and change orders 
• Review monthly Work-in-Progress reports for completeness and accuracy 
• Review monthly Accounts Receivables for payment status and follow-up as necessary 
• Work closely with Project Managers and perform detailed monthly job cost reviews 
• Job setup (i.e., contract review, budget, schedule of values, billing templates, etc.) in Vista by Viewpoint, which is our account ERP, and Procore 
• Review bonding requirements per contract and order Payment/Performance bonds if required 
• Send insurance requirements to insurance agency to obtain Certificate of Insurance
• Request job cost transfers 
• Request job cost transfers 
• Process subcontract and change order requests 
• Produce and send monthly Owner billing packets for each job (including release of liens, vendor lien waivers, Customer-specific billing formats, AIA, etc.) 
• Process vendor credit applications and request new vendor set-ups 
• Monitor Pay Controls and request changes to ensure subcontractors and vendors are paid at the appropriate time according to their specific contract terms and conditions 
• Process job closeouts 
• Assist with special projects and other duties as requested by company management 

Required Skills/Abilities

• Familiarity with an integrated Job Cost and Construction Accounting preferred 
• Ability to prioritize tasks, work effectively under stress, meet short deadlines and take direction
• Strong communication skills to handle both internal and external personnel
• Ability to troubleshoot and problem solve with a high attention to detail

Education and Experience:

• A Bachelor’s degree in Accounting, Finance or related field or relevant years of experience
• Proficiency at the intermediate level in Adobe Acrobat and Microsoft Office
• Knowledge of project contracts and change order documents and familiarity with AIA documents preferred but not required
• Vista by Viewpoint Construction Software experience preferred, but not required
• Procore Software experience preferred, but not required
• Must maintain a current Indiana Notary license
